A signed form someone photographed on a desk, two scanned letters, a bank statement exported as a PDF, a certificate that only exists on paper. The office asking for it wants one document, in a set order, readable, and often with the same details typed into their own form.

Here is how to get from the pile to the packet, and the steps that usually cost the most time.

1. Start from the checklist, not the files

Every submission has a list of what it needs, even when it is buried in the instructions: an application form, supporting letters, proof of identity or registration, financial statements, a declaration. Write that list down first, in the order the reviewer expects. It becomes your table of contents, and it shows you what is missing before you start assembling.

2. Make every page readable text

Phone photos and old scans are pictures of pages. A reviewer can read them, but you can't search them, copy from them, or paste their details into a form, and some portals reject files that aren't searchable.

So the first real step is getting the text out of every page. With Presentr Analyze's text extractor you upload a PDF (up to 200 pages, 25 MB) or an image and get back the text as plain text, a Word document and structured JSON. Tilted photos, multi-column pages and clear handwriting come back in reading order, and pages it isn't sure about are flagged in a review copy so you know which ones to check by eye. If a document is in another language, it can also translate the text into one of 61 languages.

Check names, dates, amounts and reference numbers against the original. That is where any reading error matters most, and it's what a reviewer will check too.

3. Fill the form from your documents, not from memory

Most of the typing in a submission is copying: the registration number from the certificate, the address from a utility bill, the totals from a statement. Once every page is text, those details are a search away instead of a squint at a photo. Keep the extracted text open beside the form and copy rather than retype.

4. Assemble in the order of the checklist

Put the pages in the order of your checklist and give the reader a way through it:

a cover page with who is submitting, what for, and the date;

a contents page that matches the checklist;

page numbers and PDF bookmarks for each section, so a reviewer can jump to "Financial statements" instead of scrolling.

Free tools can merge PDFs, but adding a contents page, numbering and bookmarks takes more work: either a paid PDF editor, and those subscriptions have become more expensive, or several free tools used one after another.

5. Check for what is missing before you send

Go back to the checklist. Most rejected or delayed submissions are missing something small: a signature, a page from a statement, an expired document. Tick each item against the assembled file, not against the folder.

What we're testing

Step 2 is what Presentr Analyze does today. Steps 3 to 5 are where people tell us they lose the most time, so we're testing a way to do them together: you upload the pile and the form or checklist, and get back one submission-ready PDF, with a cover and contents page, page numbers and bookmarks, the form's fields filled from your documents, and a list of anything that looks missing.

It isn't built yet. If you would use it, tell us what you'd submit: grants, permits, claims, regulatory filings or something else.
